What is PDF-Flow Editor?

PDF-Flow Editor is a Windows program for simple PDF document editing. You can merge multiple PDFs, extract individual pages, insert images, and rotate pages. Distribution and what is enabled in standard vs. Pro come from the Microsoft Store and in-app prompts; this web documentation does not replace the Store listing.

Limitations:
  • Which features are available in standard vs. Pro is defined in the Store and in the app.
  • No text editing within PDFs (text can only be selected/copied)
  • No form editing or filling PDF forms
  • No digital signatures
  • Password-protected PDFs cannot be opened
  • No OCR function (scanned images remain images)
  • Maximum file size: approx. 500 MB per PDF

Installation

Option A: Microsoft Store

1 Open the Microsoft Store.
2 Search for "PDF-Flow Editor".
3 Click "Install".
4 After installation, find in Start menu under "PDF-Flow Editor".

Option B: Manual Installation

1 Download PDF-Flow-Editor-Setup.exe.
2 Double-click the setup file.
3 Accept the license agreement.
4 Select installation folder (Default: C:\Program Files\PDF-Flow-Editor).
5 Optional: Check "Create desktop shortcut".
6 Click "Install" and wait for completion.

First Start

1 Start PDF-Flow Editor via Start menu or desktop.
2 Main window opens with empty workspace.
3 The toolbar at the top shows all available functions.
4 To open a file: Click "Open file" or drag a PDF into the window.

Main Features - Step by Step

1. Merge PDFs

1 Click "File" > "Merge PDFs" or use the merge icon in the toolbar.
2 A new window opens with an empty list.
3 Click "Add files" or drag PDFs into the list.
4 Files appear in the order they were added.
5 Change order: Select a file and use arrow buttons (up/down) or drag & drop.
6 To remove a file: Select it and click "Remove".
7 Click "Merge".
8 Select save location and filename for the new PDF.
9 The merged PDF is created and automatically opened.

2. Split PDF (Extract Pages)

1 Open the PDF file you want to split.
2 Click "Pages" > "Extract pages" or right-click in the page preview on the left.
3 A dialog opens with options:
  • Current Page: Only the currently displayed page
  • Range: e.g., "1-5" for pages 1 to 5
  • All: Each page as separate PDF
  • Selected: Multiple pages with Ctrl
4 Select the desired option and enter page numbers if needed.
5 Select destination folder and filename.
6 For "All" or "Range", files are automatically numbered (e.g., Document_Page1.pdf).

3. Rotate Pages

Rotate single page:

1 Click on the desired page in the left page preview.
2 Right-click and select "Rotate left" or "Rotate right".
3 Alternative: Keys L (left) or R (right).

Rotate all pages:

1 Menu "Pages" > "Rotate all pages".
2 Select 90 degrees left, 90 degrees right, or 180 degrees.
3 Click "OK".

4. Insert Image into PDF

1 Open the PDF file.
2 Click "Insert image" or press Ctrl+I.
3 Select an image file (supports: JPG, PNG, BMP, TIFF).
4 The image appears on the current PDF page.
5 Drag the image with the mouse to the desired position.
6 Drag at the corners (resize handles) to adjust size.
7 Double-click the image for more options (transparency, rotation).
8 Click outside the image to finish editing.
9 Save the PDF with Ctrl+S.

5. Select and Copy Text

1 Open the PDF file.
2 Click the "Text" icon in the toolbar or press T.
3 Cursor changes to I-beam (text cursor).
4 Click and drag over the text you want to select.
5 Selected text is highlighted in blue.
6 Press Ctrl+C or right-click > "Copy".
7 Open Word, Notepad, or another program and paste with Ctrl+V.
Important: Text from scanned PDFs (which consist only of images) cannot be selected. Use OCR software like DocuMind with Tesseract.

6. Reorder Pages

1 Open the PDF file.
2 In the left panel, see thumbnails of all pages.
3 Click and hold a page.
4 Drag it to the new position in the list.
5 A line shows the new position.
6 Release mouse button to place the page there.
7 Save with Ctrl+S.

7. Delete Pages

1 Click on the page to delete in the left page preview.
2 Press Del key or right-click > "Delete page".
3 Confirm the security prompt.
4 Save with Ctrl+S.

8. Print PDF

1 Open the PDF file.
2 Click "Print" or press Ctrl+P.
3 The Windows print dialog opens.
4 Select your printer from the list.
5 Set options:
  • Page range (all, current, specific pages)
  • Number of copies
  • Color or black & white
  • Paper size (A4, Letter, etc.)
6 Click "Print".

Troubleshooting

ProblemSolution
"File in use" error The PDF is open in another program (e.g., Adobe Reader). Close all programs using the file.
Image cannot be moved Make sure edit mode is active (cursor icon in toolbar). Images can only be moved in edit mode.
"Text cannot be copied" The PDF contains only images (scanned document). Text was never digitally embedded. Use OCR software.
PDF cannot be saved Destination folder has no write permissions. Try running as administrator or select a different folder.
Program freezes with large PDF Very large PDFs (>100 MB, many pages) require a lot of RAM. Close other programs or split the PDF into smaller parts.
"Invalid PDF format" The file is damaged or not a real PDF. Try opening the file in another PDF reader.
Image quality poor after insertion The image is not recompressed. If the original has low resolution, it stays that way. Use high-resolution images.
